Activities, notes, and tasks help teams keep recruiting work traceable and actionable.

Activities

Activities record interactions or events connected to a Candidate, Project, Account, or Contact.

Examples include:

  • Calls
  • Emails
  • Meetings
  • Candidate updates
  • Customer communication

Activities are useful when you need to understand what happened and when.

Notes

Notes are free-text entries for capturing information.

Use notes for:

  • Conversation summaries
  • Candidate impressions
  • Customer requirements
  • Context for colleagues
  • Important details that do not require a follow-up action

Examples:

  • Candidate is available from July and prefers remote work.
  • Customer is hiring urgently and has budget flexibility.
  • Strong conversation; candidate seems motivated and open to change.

Notes can usually be found on the relevant record, such as a Candidate, Account, Contact, or Project.

Tasks

Tasks are actionable to-dos with ownership and due dates.

Use tasks to answer:

  • What needs to be done?
  • Who is responsible?
  • When is it due?
  • Which Candidate, Project, Account, or Contact is it related to?

Typical tasks include:

  • Follow up with a Candidate
  • Call a customer
  • Request feedback
  • Prepare an interview
  • Follow up on an offer

Notes Vs Tasks

Use a note when you want to store information.

Use a task when someone needs to do something.

Example:

  • Note: Candidate is interested.
  • Task: Call Candidate in two days.

Best Practice

After important conversations:

  • Add a short note describing what was discussed.
  • Create a task for the next concrete action.
  • Link both to the relevant Candidate, Project, Account, or Contact.
