Email And GDPR
EmmyCore supports email workflows for Candidates and Contacts, including templates, template fields, signatures, and GDPR-related candidate communication.
Candidate Emails
Candidate emails can usually be sent from the Candidate page.
Typical workflow:
- Open the Candidate page.
- Open the email or task area.
- Select the email action.
- Fill in the email fields.
- Send the email.
Some Project candidate views also provide email actions directly from the Candidate row or card.
Contact Emails
Contact emails can be sent from the Contact page.
Typical workflow:
- Open the Contact page.
- Use the activity or email action.
- Fill in the email fields.
- Send the email.
The email is then traceable in the Contact or related activity history, depending on configuration.
GDPR Requests
GDPR communication is used to request or manage privacy consent from Candidates.
Single Candidate
Typical workflow:
- Open the Candidate page.
- Select the GDPR action.
- Review the Candidate email address.
- Select the email language, if required.
- Send the GDPR email.
If the Candidate has already accepted GDPR consent, the GDPR action may appear disabled or visually inactive.
Multiple Candidates
Some Project table views support sending GDPR requests to multiple Candidates.
Typical workflow:
- Open the Project page.
- Switch to table view, if required.
- Select the Candidates.
- Select the GDPR action.
- Review email addresses and language selections.
- Send the requests.
Bulk GDPR behavior depends on permissions and configuration.
Email Templates
Email templates standardize repeated communication.
Templates can be inserted while composing emails from Candidate or Contact pages.
Template fields can insert record-specific placeholders, such as Candidate or Contact information.
Creating Email Templates
Template creation is usually an admin or power-user workflow.
Common template fields include:
- Template name
- Target audience, such as Candidate or Contact
- Subject
- HTML body
- Placeholder fields
When creating templates, test the preview before using the template in production communication.
Email Signatures
Email signatures are configured per user.
Typical workflow:
- Open the user menu or avatar settings.
- Edit the user profile settings.
- Add or update the email signature field.
- Save the change.
If the signature field does not support full HTML editing, keep images small and test the rendered result before sending production emails.
