Candidates List

The Candidates page shows candidates you can access through your assigned Projects.
Depending on your configuration, candidates may be grouped by Project.
The list is built from candidate applications inside your accessible Projects. It is not a separate global master list.
For external users, the list is narrower than for internal users. In practice, external users only see candidates after all of the following are true:
- the candidate was shared to EmmyPortal
- GDPR sharing was accepted
- the candidate was moved to, or past, a Project status of type presentation in EmmyCore
Common actions:
- Search (by candidate name and basic profile fields)
- Sort candidates (for example: by last status change)
- Switch between active and inactive candidates
Search can match fields such as candidate name, vCard title, current employer, residence city, and phone number.
The active / inactive switch is part of the standard Candidates page and is not limited to internal users.
This page is useful when you want to work candidate-first instead of Project-first. It gives you a broader overview across the Projects you can access.
Sorting
Common sort options include:
- Last status change: shows the most recently updated candidates first
- Name (A-Z): alphabetical by displayed candidate name
- Name (Z-A): reverse alphabetical
- Status rank (high to low): sorts by the ranking of the candidate's current Project step
- Status rank (low to high): reverse step ranking
Filters and views (internal-only)
Internal users with internal portal enabled may also see:
- Step filter
- Portal state filter
- Table view (if enabled)
- Bulk action buttons (permission-controlled): invite, interim report email, reject, cancel rejection
What these controls do:
- Step filter: shows only candidates currently in specific Project steps
- Portal state filter: shows only candidates in specific portal workflow states such as not reviewed, invited, interim report, or pending rejection
- Table view: switches from the visual card layout to an operational list view optimized for filtering, selection, and bulk actions
Candidate Detail

Candidate detail pages group information into tabs. The available tabs and fields can vary by tenant configuration.
The candidate header includes:
- Candidate photo/avatar
- Candidate name and title
- Linked Project
- Shared visibility badge
- Rejection badge
- Current portal action badge
- Status bar showing the candidate progression across project statuses
Users can also move to the previous or next candidate without going back to the list page.
Pipeline Progress

The pipeline progress bar in the candidate header shows where the candidate currently sits in the recruitment process of the linked Project.
Each point in the bar represents a Project status in the recruitment flow. This gives users a quick way to understand how far the candidate has progressed without opening the full Project view first.
What you can do with it:
- Review the candidate's current stage in the recruitment process
- Hover the small circles to see the name of the individual progression step
- For stages that were already reached, view the date on which the candidate entered that stage
This makes the progress bar useful both as a status indicator and as a compact history of how the candidate moved through the Project pipeline.
For external users, the candidate only becomes visible once the candidate was shared, GDPR sharing was accepted, and the candidate reached a Project status of type presentation or later.
This makes the page efficient for reviewing multiple candidates in sequence. Instead of leaving the detail page each time, you can continue directly through the current filtered set.
Some candidate actions are permission-controlled and may only be visible to internal users, for example:
- Send invitation
- Send interim report email
- Reject candidate (and cancel rejection)
These actions are only available when the user is internal and the internal portal is enabled for the tenant.
What these actions do:
- Send invitation: moves the candidate into the invitation state in the portal workflow
- Send interim report email: marks the candidate for interim-report communication
- Reject candidate: marks the candidate for rejection
- Cancel rejection: restores a candidate that is currently in a pending rejection state
These actions are confirmation-based and refresh the candidate data afterward.
Tabs
Documents
The Documents tab shows candidate-related files. PDF files open in the built-in viewer. Videos are listed separately and can be played or downloaded when supported.

Information
The Information tab can include:
- Salary expectation
- Remote work / remote days
- Willingness to travel
- Travel details
- Willingness to relocate
- University
- Highest degree
- Date of birth
- Language skills
Which fields are shown depends on tenant configuration.

This tab is designed for structured profile details that are easier to compare than free-form CV content.
Assessment
The Assessment tab contains structured evaluation content. Depending on tenant configuration, this can include:
- Project experience
- Personal goals / leadership profile
- Change motivation
- Answers to knockout questions
Some candidates may also include additional narrative assessment sections.

Use this tab when you want the recruiter-facing interpretation of the profile rather than only raw facts.
Scoring (if enabled)
When EmmyScore is enabled and your account has access, the Scoring tab can include:
- Overview
- Requirements
- Personality
- Competence
- Job assessment
- Motivational drivers

This tab is intended for users who need a more structured evaluation layer on top of the candidate profile.
Internal-only actions
Some actions are only available to internal users and only when the internal portal is enabled for the tenant.
Examples include:
- Bulk actions in candidate lists (invite, interim report email, reject)
- Additional filters (step and portal state)
- A table-based operational view for candidate lists
If you do not see an action, it may be disabled by permissions or tenant configuration.
